Effective Communication
Effective Communication: It is a two way communication process where both parties have right and convenience to express their messages, opinions, facts, other information and so forth.
Principles of Effective Communication
1. Clarity – Messages should be sent in the easily understandable language.
2. Consistency – It should sent with planned objective.
3. Timeliness – It must be conveyed at proper time.
4. Feedback – It should have feedback confirmation.
5. Economy – It should take place in a way that costs optimally.
7 C’s of Effective Communication
i. Clear - Be clear in our messages.
ii. Concise – Being specific without wasting valuable time
iii. Concrete – Giving clear facts.
iv. Correct – Avoiding mistakes, errors and using audience-friendly language
v. Coherent – It means logical communication i.e all points are connected and relevant to the main topics.
vi. Complete – Complete message to be delivered.
vii. Courteous – Messages to be conveyed respectful.
Barriers in Communication
- Linguistic Barrier (Lingual factors) : Language can be a barrier of effective communication.
- Physical Barrier (Environmental Distractions) : Physical barriers are environmental or physical obstacles that make it difficult to communicate clearly and effectively. They can include noise, distance, poor lighting, and technological issues.
- Cultural Barrier: Cultural barriers in communication refer to the challenges that arise due to differences in cultural backgrounds, leading to misunderstandings and misinterpretations.
- Interpersonal Barriers : It refers to the situations when the intended messages is received incorrectly because of below personal reasons:
a)Prejudice : Having preconceptions can be a hindrance in communication, e.g thinking all teachers are strict, can strain the chances of having conversations with the teacher.
b) Attitude of superiors: Egoistic nature may affect effective communication.
c)Emotional barrier:- Sometimes our feelings such as bad mood or anger or feeling disappointed
- Organisational Barriers – If in an organization, there is no clarity about the roles, structures, responsibilities.
Measures to overcome barriers of Communication
- Language barrier: To overcome language barriers in communication, it's very important to use clear, simple language, avoiding jargon and idioms, and actively seeking clarification and feedback.
- Physical barrier: To overcome physical barriers in effective communication, we should focus on creating a clear and accessible environment, minimizing distractions, and leveraging technology to facilitate communication.
- Cultural barrier: To overcome cultural barriers in effective communication, we should focus on active listening, clear and respectful language, and also cultural awareness.
- Interpersonal barrier: To overcome interpersonal barriers to effective communication, we should prioritize active listening, seek clarifications, provide constructive feedback, use simple language, and maintaining calmness.
- Organizational barrier: To overcome organizational barriers to effective communication, organizations can implement strategies like establishing clear communication guidelines, providing training and development, and utilizing effective communication channels.
